Job Summary

To coordinate calendaring needs between clients and court reporters while providing excellent customer service.  Maintain the schedule and calendar court reporters. Handle last minute call-ins and assign court reporters.  Make well informed decisions on who should cover an assignment.

Position Responsibilities and Functions

  • Provide availability of court reporters and video; update Scheduling Supervisor by 10:00 am.
  • Confirm calendar for following day.
  • Handle after hours calls.
  • Process email deposition settings and captions.    
  • Serve as contact and maintain client and court reporter relationships; resolve problems as necessary.
  • Enter deposition information into RB.
  • Confirm, cancel and reschedule calendared settings.
  • Research and assign reporters accordingly based upon calendar settings.
  • Set up videoconferences and telephonic depositions.
  • Log/track exhibits for the witness binder.
  • Research, maintain and assign videographers for assigned offices.
  • Obtain interpreters as requested.
  • Attempt to schedule last minute depositions if requested by the client.
  • Prepare office for in-house depositions.  Provide refreshments; ensure office is clean and neat.
  • Request supplies as needed.
  • Request landlord to handle necessary repair and maintenance.
  • Attend local community and legal association functions as a representative of Alaris.
  • Negotiate jobs with clients and prospective clients as necessary.
  • Manage, coach, discipline and counsel staff as required.
  • Perform other duties as requested
Job Requirements and Qualifications
  • Associate’s Degree, Bachelor’s degree preferred.
  • Five (5) years applicable experience or any equivalent combination of education, experience and training that provides the required knowledge, skills and abilities.
  • Ability to communicate clearly and concisely, verbally and in writing.
  • Strong organizational, planning and prioritization skills.
  • Ability to perform such tasks as scheduling, research and administrative duties.
  • Attention to detail and accuracy.
  • Working knowledge of computers including word processing, database and spreadsheet applications.
  • Strong consulting, negotiation, problem resolution, mediation and interpersonal skills.
  • Ability to establish and maintain effective working relationships with other staff, vendors and the public.
  • Must be able to communicate effectively with diverse, and sometimes irate, individuals and to handle calmly and efficiently situations ranging from routine to emergency.
