We are dedicated to the pursuit of professional excellence in the field of court reporting and trial services and are excited to explore candidates to fill our open position of Regional Office Coordinator in our Columbia, MO office. 

Job Summary

Coordinate calendaring needs between clients and court reporters while providing excellent customer service.  Maintain the court reporter schedule and calendar. Handle last minute call-ins and assign court reporters.  Make well informed decisions on who should cover an assignment.


Position Responsibilities and Functions

  • Process email deposition settings and captions.
  • Establish and maintain client and court reporter relationships
  • Enter deposition information into RB.
  • Confirm, cancel and reschedule calendared settings.
  • Reserve and confirm out-of-area deposition settings.
  • Checking and preparing paperwork for the following day.
  • Set up videoconferences and telephonic depositions.
  • Research, maintain and assign court reporters and videographers for assigned offices.
  • Obtain interpreters as required.
  • Schedule last minute depositions if requested by the client.
  • Attend local community and legal association functions as a representative of Alaris.
  • Perform other duties as requested
  • Provide availability of court reporters and video; update Scheduling Manager by 10:00 am.
  • Log/track exhibits for the witness binder.
  • Prepare office for in-house depositions.  Provide refreshments; ensure office is clean and neat.
  • Request supplies as needed.
  • Request landlord to handle necessary repair and maintenance.
  • Handle after hours calls as needed.

 

 

Job Requirements and Qualifications

  • High School Diploma.
  • Associates Degree or higher is preferred.
  • Two (2) years applicable experience or any equivalent combination of education, experience and training that provides the required skills and abilities.
  • Ability to communicate clearly and concisely, verbally and in writing.
  • Strong organizational, planning and prioritization skills.
  • Ability to interact with clients, vendors, and staff with tact and courtesy.
  • Maintain a professional demeanor and an orientation toward excellent client service principles and practices in all interactions.
  • Proficient in relevant computer applications.
  • Knowledge of administrative procedures.
  • Strong problem solving skills; attention to detail and accuracy.
